Before you can request group risk quotes and use our online services, your company will need to sign a terms of business agreement with us. Please download the agreement, and scan the completed copy to our team at quotes@ellipse.co.uk

If you have an agency number, then you’ll need to register here to use our online services.

You can get quotes for all of our products – group life, group critical illness and group income protection – directly from our website. You’ll be asked for information about your client’s policy and their membership data. It takes 10-15 minutes to get a binding quote.

Once you are happy with the quote, you can accept it online. You and your client will then be sent a pre-populated application form, specific to that scheme, which includes all the information you have provided to us. Your client must sign and return this form before the policy can start.

This means that, you, your client and us can be sure who is to be covered and on what terms. Scan and email the form back to us at quotes@ellipse.co.uk and we’ll confirm cover the same day.

Once the policy has started we’ll send you the policy schedule and ask for you to provide the first set of data (inception data). This should be uploaded by you online, and you and your client will then be sent an invoice and premium breakdown.

Premiums must be paid by Direct Debit.

Policy schedules issued within five days of the policy start date

Membership data is needed quarterly.

For small schemes, your client can administer their own policy online, or you can administer it for them. When you complete the application form we’ll ask you about this and request a data contact. We ask for updated membership data every quarter. This keeps the scheme up to date, so your client only pays the precise premium for the cover they have, at the time they have it. There is no end of year reconciliation, premiums are spread throughout the year.

We’ll email the data contact when a data refresh is due and copy you in. It’s an online process that only takes a few minutes. Either the existing data we hold can be downloaded from the system, changes made and re-uploaded, or you can provide new data. An invoice and premium breakdown will be sent to you and your client immediately.

Premiums can be paid monthly or quarterly, but we can only accept Direct Debit payments. That’s important as it allows us to keep our premiums low.

Our rates are normally guaranteed for two years. We’ll email you 12 weeks before the rate review date and ask you to obtain a new rate review quote online. This is a bit different to the normal quote process, as we already have the scheme information and you can even use the existing data we hold too. All we need is updated travel and absentee information, so the quote process only takes a few minutes.

You’ll have six weeks to complete the rate review online. Once the quote has been done, we’ll send you the new policy schedule straight away. You don’t have to accept the quote, it will automatically take effect from the rate review date with no further information needed. You can make a change to an existing policy at any time, but you should let us know in good time before you want the change to take effect. The information we need will depend on the type of change you want to make, and in some cases your client will need to complete a new application form before the new cover can start.

While most employees are covered without completing any medical underwriting, sometimes it is required. Employees will be sent an email with a link to complete an online health and lifestyle questionnaire. It takes about 20 minutes to complete and most employees have cover confirmed immediately.

Pre-Assessment

As our individual assessment process is completed online, we can use it to assess members before a scheme is placed with Ellipse. This might be useful if a currently insured member has been declined or postponed benefits by the previous insurer, as in many cases we can offer more favourable terms. By completing the assessment prior to transferring the scheme, you can be sure that existing cover is not lost, and an informed decision can be made.

For medium sized schemes you can provide data annually instead of quarterly if you’d prefer. We’ll ask you to choose on the application form and nominate a contact person to supply the data. This can still be the client if they would prefer to administer their policy online.

Quotes take a maximum of 10 working days, but if we can send it sooner we will.

Offline scheme quotes issued by the adviser agreed target date

Once you are happy with the quote, give us a call on 0203 003 6262 with the client’s companies house number. We’ll send you a pre-populated application form, specific to that scheme, which includes all the information you have provided to us. Your client must sign and return this form before the policy can start.

This means you, your client and us can be sure who is to be covered and on what terms. Scan and email the form back to us at quotes@ellipse.co.uk and we’ll confirm cover same day.

Once the policy has started we’ll produce the policy schedule and send you an email to ask for the first set of data (inception data). Once this has been received we’ll check the data and produce an invoice and breakdown of cost within 20 working days.

For larger schemes, one of our team will manage the scheme for you and you’ll have one point of contact. These policies are not administered online, but documents will need to be accessed online in the normal way.

We ask for data once a year. We’ll email you when a data refresh is due and once you’ve sent us the updated data our team will process it and provide an invoice and breakdown of cost. This process normally takes 20 working days.

Premiums can be paid monthly or quarterly by Direct Debit, or annually by bank transfer.
